—KICKOFF

In this initial Phase we discuss and set up the Project details in order to be ready to begin our work together. 

 
 

1.1 — MEETING 

Session in which you should inform specific details of the Project, its scope and deadlines. The existing data and milestones proposed are reviewed and we will put together a list of the items that need to be produced. Everything we talk about will be written down to help you build the official Project Brief at the end of this Phase.

1.2 — BOOKING 

The calendar days for the Project are booked and reserved exclusively for you. In order to make this official, we'll sign a Project Contract that will detail everything about both parties' rights and obligations. Please download the Project Contract for reviewing by clicking on the button below. The signing of the Project Contract implies your agreement to our Terms and Conditions.

In order to begin our work together and ensure your spot in our booking calendar, we require an advanced downpayment of 50% of the Project's total and the signing of the Project Contract. Depending on the Pack you chose, you will then have either two or three more installments to pay after specific Project milestones are reached.

1.3 — PROJECT BRIEF 

The Project brief is the main framework of the Project and will establish clear expectations between the two parts. It consists of a form that you must fill in with the details discussed at our meeting and complete within 2 business days after the booking is made effective.

—PREPARATION

In this Phase we discuss and set up the Project details in order to be ready to begin our work together. 

 
 

2.1 — CLIENT HOMEWORK 

In order to clearly communicate your brand, we must first thoroughly understand the business behind it. That can only happen through fluid communication on both ends of the client experience. With that in mind, in Suiza de America we implemented Client Homework: a series of assignments that help us gain as much feedback from you as possible before the design process begins.

 

2.1.1 — Brand Discovery Survey

This survey will help us understand your business, how it works, who is your target audience, what are your goals and provide a broad picture in which the market research, conceptualization and design processes will be based on. Please be very descriptive!

2.1.2 — Web Discovery Survey

This survey will help us understand how you want to portray yourself and your company on the online world. It will give us clues on how to build the interface, which sections will be required and what kind of content you will need to produce. Please be very descriptive!

2.1.3 — Pinterest Moodboard

The moodboard is the quintessential tool to define the visual aspects of your brand. We will be building a shared board in Pinterest together.

The idea of the moodboard is that you add to it (or "pin" onto it) every visual concept or idea that you believe describes you, your business and your customers. For instance, if you think that you have a business that focuses on "the natural", you would be adding images to your moodboard that have to do with nature, healthy living or recycling; earthy or green color palettes; natural fibers or plant textures, etc.

We encourage you to add as many images as you want, ideally 20-30 images is suggested. They can be color combinations, textures, photographs, illustrations, etc. Anything that you feel describes best what you have in mind for your brand. If you want to give us an extra hand interpreting your vision, we ask you to write down on each pin's description the reason why you pinned it.

2.1.4 — Brand Materials Production

You must begin to collect and/or produce the material indicated at the initial meeting as soon as possible. These might include producing a professional photoshoot, copywriting for your website, writing a couple of blog posts, etc. Please make sure you understand what you need to do, this is essential to get your Project done in time. 2.1.5 — Project Expectations Guide

We want to help you envision how the Project will unfold and how we will be communicating with each other; what you can expect from Suiza de America during the process and what we will be expecting from you as well. Please download the following guide to make sure we are on the same page so that the Project flows smoothly for both parties and we shun away from misunderstandings.

2.2 — RESEARCH 

A brief investigation will be done on the current situation of your business, its environment, competition and current trends as well as the opportunities and needs of communication to compare and contrast your survey answers with what we can perceive as outsider spectators.


2.3 — CHECKPOINT

A few days before the beginning of the Project, we will verify that all the necessary materials are available and that their quality is satisfactory in order to begin the Development Phase.

IMPORTANT

Please note that any delays in the turnaround of the client homework and/or providing it without sufficient quality or completion, will incur in the holding up of the Project until the proper and complete set of materials arrive. In such cases, Project restart will also be subject to Suiza de America's availability. Please refer to the Project's Contract Terms and Conditions for further details.

—DEVELOPMENT: PRINT

In this initial Phase we discuss and set up the Project details in order to be ready to begin our work together. 

 
 

3.1 — LOGO & GRAPHIC ELEMENTS 

Two project directions are to be presented, ensuring the integration, flexibility and consistency in their use at a global level. Each option is be presented with its own record, in which the concepts and studies that generated them will be explained.

3.2 — REFINEMENTs 

Design adjustments of the chosen project direction will be made. Up to two instances of edits will be considered for this stage. If you require more instances of edits, they will be quoted separately.

3.3 — BUSINESS STATIONARY

Having the visual identity of the brand defined, three business stationary items of your choice will be designed. Up to two instances of edits will be considered for this stage. If you require more instances of edits, they will be quoted separately.

The second payment of the Project corresponding to 20% of the total must be made. This will allow the delivery of print-ready files of the Business Stationary. We will recommend the printer we feel better suits your needs and budget. However, we will not be in charge of print supervision nor communications with this third-party. If these services are required they will be quoted separately.

—DEVELOPMENT: WEB

In this Phase we will design your website from scratch, making it cohesive with the print materials done. 

 
 

4.1 — WEBSITE SITEMAP 

In this stage you will list in a Google Drive doc an approach to the sitemap, sections, functionalities and location of the copy and pictures. We will define the best solution together.

4.2 — UPLOADING OF CONTENT 

All content compiled in the Preparation Phase will need to be categorized by you with SEO-friendly tags and uploaded to Google Drive in their corresponding sub-folders.
SEO-friendly image tags means each picture must be assigned its proper name, not Image001.jpg —see how to correctly name the files and sub-folders by observing the example JPEG.

4.3 — WEBSITE - Function 

The skeleton of the website will be designed taking into account only the functionality and the defined sitemap. This stage includes one instance of edits only. Additional edits will be quoted separately.

4.4 — WEBSITE - Form & Function 

Brand elements, styles, effects, fonts, colors and pictures are applied to the previous stage's pre-approved site. This stage includes one instance of edits only. Additional edits will be quoted separately.

4.5 — EMAIL CONFIGURATION 

In case you don't have a professional email provider, a new email with the brand's own domain URL will be created, configured and connected with the site via the free Zoho Mail Platform.

The third payment of the Project corresponding to 20% of the total must be made. This will allow the transfer of the site's ownership to you so you can pay the Squarespace hosting in order to exit the trial mode. All links become functional and proper connections with social media, domain and email servers are set.

—MARKETING

In this initial Phase we discuss and set up the Project details in order to be ready to begin our work together. 

 
 

5.1 — SOCIAL MEDIA ASSETS 

Two different editable templates for three social media networks of your choice will be designed, together with matching profile and cover images. Depending on your design and software skills, the templates will be either built in Adobe Suite Programs or the free online design tool Canva.

5.2 — FACEBOOK & GOOGLE ADS CAMPAIGNS

A plan for the first month of Google and Facebook ads will be put into motion based on your budget for advertising (this cost is not included in the Pack price). The contract for ad campaigns will be renewed on a monthly basis, following a briefing meeting to determine the details of the campaign and budget for the following month.

5.3 — NEWSLETTER 

A newsletter template will be designed in Mailchimp based on the visual identity defined, so that the brand can communicate with its followers, be able to collect their emails and important data about them. The content of the newsletter must be supplied by you within a one-week time frame before this phase begins.

The first newsletter will be sent by you after Phase 6 as the result of the Mailchimp Platform training course.

5.4 — MEDIA KIT 

An editable Media Kit/Brand Presentation will be designed that will contain all of your brand's ethos, aesthetics and contact data. Depending on your design and software skills, the template will be either built in Adobe Suite Programs, Microsoft Powerpoint, Google Pages, Apple Keynote or the free online design tool Canva.

5.5 — BRAND STYLEGUIDE 

An explanatory visual guide containing all the details for the proper use of the defined identity elements. It includes design and usage details of logotype, graphic elements, stationary, brand colors, brand typography, website, social media assets, newsletter and media kit.

—BACKUP & TRAINING

In this initial Phase we discuss and set up the Project details in order to be ready to begin our work together. 

 
 

6.1 — brand vault 

Here you will be able to access all the final files ready for printing, your social media image pack, your editable templates and everything else created for your brand. 

All this information is backed-up threefold (that means three times, yes!) in our encrypted hard-drive, and in our password-protected Google Apps and Dropbox accounts. We DO recommend, however, that you download all materials and keep a secure copy to yourself too.

6.2 — SQUARESPACE TRAINING 

We know that having a new website and understanding a new platform can be daunting at first, so we've compiled these training materials to show you simple things you can do to get around your new site easily. The training will walk you through editing text content, adding/scheduling a blog post, working with images, adding links or files, etc.

6.3 — MAILCHIMP TRAINING

Email marketing doesn't need to be overwhelming. This guide will help you get your first campaign off the ground. We’ll also offer tips for managing your list, viewing your reports, and making sure your newsletters get into the right inboxes.

6.4 — CANVA TRAINING (if applicable)

If you aren't familiar with design programs such as the Adobe Suite, don't worry. We have created all of your editable assets in a free online tool called Canva, that brings to the non-designer hands the ability to independently create and modify graphics.

In order to maintain your brand identity, we have pre-created templates so you will only have to edit the text and/or images and later export/download them to share on your social media networks and potential customers.
